What you’ll be responsible for


Working in a dynamic, fast paced role with minimal supervision and guidance in an environment where plans are continually changing and requiring you to adapt accordingly.  The Executive Assistant to the Business Support & People Director will act as an ambassador for the function and the business as a whole and communicate effectively and appropriately with internal and external customers, business contacts and stakeholders, including Welsh Government, CBI, Institute of Water, CIPD and external lawyers.  This will include:


1.    Ability to work on your own initiative and make appropriate decisions on the Director’s behalf.
2.    Preparing confidential documents and information for the Board, Remuneration Committee and Executive meetings including drafting slide decks.  
3.    Liaising directly with the Board Chairman and Remuneration Committee Chair in the absence of the Business Support & People Director.
4.    Organising the Director’s demanding and changing calendar and have an awareness of important events and meetings and highlighting these in a timely manner to ensure adequate preparation time.
5.    Arranging travel and accommodation with the ability to think ahead and be able to adapt and re-schedule as demands change.
6.    Actively managing a busy mailbox and calendar, dealing with first level queries and ensuring all parties receive timely responses to emails and queries.
7.    Providing administration support to the Business Support and HR teams. 
8.    Organising and minuting trade union meetings Chaired by the Director and the wider HR team.
9.    Build effective relationships with the trade union full time officers and lay reps and be their first point for queries and being the first point of contact when arranging visits to site.
10.    Preparing joint communications to the business and ensuring an effective cascade of information to and from Business Councils via other Executive Assistants/PAs.

11.    To retain accurate filing mechanisms for all the Director’s areas of responsibility. 

12.     Desire to learn and question process.

13.     To act as first line editor on reports/papers.

About you



  • Ideally 2+ years’ experience of working as an Executive Assistant ideally within HR.
  • Able to demonstrate understanding of multiple challenges of Director role e.g. interaction at Board level, external stakeholder management, membership of Executive and leadership of the team to aid efficient management of Director’s time.


Knowledge & Skills

  • Excellent IT and administration skills: proficiency in the use of MS Word, Excel, PowerPoint, Outlook, Teams etc is essential
  • Previous experience of fast minute-taking
  • Good analytical skills
  • Excellent communication skills
  • Have a ‘can do’ attitude and be enthusiastic about putting our customers first every day
  • Organisational awareness e.g. structures, culture and governance
  • Flexibility and ability to work at pace with good use of initiative
