What you’ll be responsible for

 

As a Facilities Coordinator, you will be the first point of contact for all visitors, colleagues, and external stakeholders at our Ty Awen Newport hub and nearby Head Office. You will play a key role in ensuring a professional, welcoming, and safe environment, supporting both front-of-house and facilities operations.

 

Key Responsibilities

  • Provide a courteous and professional reception service, managing phone and email enquiries efficiently.
  • Support the Facilities Team in maintaining a safe and compliant working environment, including assisting with site inspections, emergency evacuations, and first aid.
  • Coordinate statutory and planned maintenance schedules in collaboration with internal teams and external contractors.
  • Monitor departmental compliance and report updates during monthly team meetings.
  • Welcome and induct visitors and contractors, ensuring proper sign-in and site contact procedures.
  • Manage meeting room bookings and hospitality arrangements.
  • Oversee stationery supplies and liaise with suppliers for Welsh Water sites.
  • Handle internal and external post, including recorded deliveries, parcels, and courier services.
  • Perform additional duties as required to support business needs.

About you


Essential Qualifications & Experience:

  • Proven experience in a customer-facing or reception role
  • Confident in handling phone and email communications
  • Strong organisational and scheduling skills
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint) 

Desirable:

  • Clerical, administration, or public relations qualifications
  • Basic understanding of health and safety legislation
  • Previous experience in a similar role
  • Welsh language skills

Good to know

 

This is a full-time, office-based role (Monday to Friday).

Shift patterns include: Early shift: 7:30am–3:30pm at Ty Awen Office, Late shift: 10:00am–6:00pm at our St Mellons Cardiff Head Office

Typically, one late shift per week and two every four weeks, with at least one month’s notice.

Full in-house training will be provided.
